INDOCHINE CHIC Booking Policy

This Booking Policy (“Policy”) applies to all bookings, reservations, and travel-related arrangements made through or facilitated by INDOCHINE CHIC, a service provided by Asia Travel Mates Corp (“we”, “us”, “our”). By using our Services to plan or book travel, you agree to the terms set forth below.

1. Nature of Services

INDOCHINE CHIC provides AI-powered travel assistance, including tour planning, itinerary suggestions, and connections to third-party travel service providers. We are not a travel agency, tour operator, or booking agent. Any bookings made through our platform are processed by third-party partners (such as airlines, hotels, tour operators, or transportation companies). We facilitate the booking experience but do not control the actual travel services.

2. Booking Process

When you decide to book a travel service (e.g., a hotel, flight, tour package, or transportation) through INDOCHINE CHIC, you will be directed to a third-party booking interface. You may be required to provide personal and payment information directly to that third party. We will assist by displaying options, prices, and availability based on real-time feeds from our partners, but the final booking confirmation is issued by the third-party provider.

  • Accuracy of Information: We strive to ensure that all travel information (prices, availability, descriptions) is accurate, but errors may occur. We reserve the right to correct any errors and cancel or modify bookings affected by such errors.
  • Booking Confirmation: A booking is considered confirmed only when you receive a confirmation email or voucher from the third-party provider. We will send a confirmation on behalf of the provider, but the provider’s terms and conditions govern the reservation.
  • Age and Identification: You must meet the age requirements and provide accurate identification as required by the third-party provider. Failure to do so may result in cancellation without refund.

3. Payment and Pricing

All prices displayed are in the currency indicated and may include taxes, fees, and service charges as disclosed by the third-party provider. Payment is processed by the third-party provider or, in some cases, by a secure payment gateway integrated with our platform. We do not store your full payment card details.

  • Deposits and Full Payment: Depending on the provider, you may be required to pay a deposit at booking and the balance later. The specific payment terms will be shown before you confirm the booking.
  • Price Changes: Prices are subject to change until the booking is confirmed. Once confirmed, the price is fixed unless you request changes.
  • Currency Conversion: If your payment is processed in a currency different from your card’s currency, your bank may apply conversion fees. We are not responsible for such fees.

4. Cancellation, Refund, and Modification

Cancellation and modification policies vary by third-party provider and the specific travel service (e.g., hotel, flight, tour). You will be informed of the applicable policy before confirming the booking. In general:

  • Free Cancellation: Some bookings may be canceled free of charge within a specified period. If you cancel within the free window, you will receive a full refund (subject to any third-party processing fees).
  • Non-Refundable Bookings: Certain discounted rates or special offers may be non-refundable. If you cancel such a booking, no refund will be issued.
  • Modifications: Changes to travel dates, room types, or other details may be subject to availability and additional charges. We will assist you in contacting the provider, but the provider’s rules apply.
  • Refund Processing: Refunds, if applicable, will be processed by the third-party provider and may take up to 10–15 business days to appear in your account. We are not responsible for delays caused by payment processors or banks.
Important: If you need to cancel or modify a booking, please do so directly through your account dashboard or contact us at bookings@indochinechic.com. We will relay your request to the third-party provider. However, we cannot guarantee that a cancellation or modification will be accepted, especially if the provider’s policy does not allow changes.

5. Travel Documentation and Requirements

You are solely responsible for ensuring that you possess the necessary travel documents (passport, visa, health certificates, etc.) and meet entry requirements for your destination. Our AI-generated travel information may provide general guidance, but you must verify current requirements with official sources. Failure to comply may result in denied boarding or entry, and no refund will be provided.

6. Third-Party Providers

INDOCHINE CHIC acts solely as an intermediary between you and third-party travel providers. The actual travel services (accommodations, transportation, activities) are provided by independent entities. Your relationship with those providers is governed by their own terms and conditions, privacy policies, and cancellation policies. We are not liable for:

  • Any failure of the provider to deliver the service as described;
  • Overbookings, closures, or service changes by the provider;
  • Losses, injuries, or damages arising from the travel services;
  • Disputes between you and a third-party provider.

We encourage you to review the provider’s terms before booking.

7. Force Majeure

Neither we nor the third-party provider shall be liable for any failure or delay in performance due to circumstances beyond our control, including but not limited to natural disasters, pandemics, strikes, government actions, travel bans, or adverse weather. In such events, the third-party provider’s cancellation policy will apply, and we will assist you in contacting them for possible options (e.g., credit or rescheduling).

8. Disputes and Chargebacks

If you believe a booking was incorrectly charged or not delivered, please contact us first at bookings@indochinechic.com so we can work with the third-party provider to resolve the issue. Initiating a chargeback without first contacting us may delay resolution and may affect your ability to use our Services in the future.

9. Limitation of Liability

To the fullest extent permitted by law, INDOCHINE CHIC and Asia Travel Mates Corp shall not be liable for any direct, indirect, incidental, special, or consequential damages arising out of or related to any booking, including but not limited to travel disruptions, lost opportunities, or personal injury. Our total liability for any claim related to a booking shall not exceed the amount you paid to us (if any) for that specific booking.

10. Changes to this Policy

We may update this Booking Policy from time to time. The “Last Updated” date at the top will reflect the most recent changes. Continued use of our Services after updates constitutes acceptance of the revised Policy.
